WHC Simcha Fairs - Vendor Registration Form

You have been invited to participate in Washington Hebrew Congregation's Simcha Fairs to introduce our members and the community at large to the many different types of vendors they can work with when planning celebrations for B'nei Mitzvahs, Weddings, and more.  Whether or not you plan to attend, please complete this registration form so we know your intentions and can collect your information for possible inclusion in our 2024-2025 Vendor List.

Dates, Times, and Locations
There are two fairs scheduled.  You are welcome to request to attend (or deliver print materials for display for) one or both.  However, please note that due to space limitations, we may only be able to accept some vendors to attend once.

The Booth Fees (see below) are charged per event and per booth.
  1. Sunday, November 17, 12:00-2:00pm, Julia Bindeman Suburban Center, 11810 Falls Rd., Potomac, MD 20854.
  2. Sunday, December 8, 12:00-2:00pm, Washington Hebrew Congregation, 3935 Macomb St. NW, Washington, DC 20016.
Vendor Information
All vendors present at the fairs will be included in publicity for the event, as well as listed in our 2024-2025 Vendor List.  Please list all information below exactly as you would like it to appear in publicity.
Sorry, at this time we are currently not able to include custom logos/graphics on the Vendor List, but we will include them in promotional materials for the fairs.

The email address below will be used for all communications before the event (reminders, set-up details, etc.).  After the fairs, if you had an on-site presence, you will also receive a list of names and email addresses of fair registrants and attendees, sent to this email address.



Due to space limitations, we only promote one social media listing per vendor. Please select the one you prefer we list.

Food Policy
If you are planning to provide food samples, please note the below policies:
  • No pork
  • No shellfish
  • No dishes that pre-combine meat and dairy (ie. no cheeseburgers, but people may choose to combine meat and dairy on their own).
  • POTOMAC ONLY - No nuts
Fair Selection


Booths
Each vendor will receive a "booth" of approximately 10'-wide by 7'-deep.  It will include one 8'-rectangular table with white linens and two chairs.  We will also provide access to electricity; please bring any and all extension cords or power strips that you will need.

Vendors are responsible for any additional decor or supplies.  You are welcome to set up your booth however you'd like, but please no draping higher than 10 feet.

A single booth costs $250.  A double booth costs $450.  (If you request a double but we are unable to offer you two, we will give you a single.)

No payment is due at this time.  Payment will be requested separately once registration closes for each date.

INFORMATION FOR CATERERS
As the fairs are scheduled to take place immediately following Religious School, many families in attendance may be thinking of this as a "light lunch."  With this in mind, we recommend caterers provide appetizers and/or desserts for attendees of all ages.

You may also choose to provide non-alcoholic signature beverages.  (WHC is providing water, lemonade, coffee, and tea to all attendees.)

We expect most guests in attendance will be 5th-7th graders and their parents/families.  We are also inviting young adults who may be planning weddings, and are opening the event to our congregation in case they are planning any type of celebration in the near future.

WHC will provide all caterers with a second 6'-rectangular table for prep/staging.

Sponsorships
There are multiple opportunities for vendors to sponsor parts of Washington Hebrew Congregation's Simcha Fairs.  Sponsorship grants the vendors certain benefits as well.  See below for information on each opportunity.
  • Tote Bag Sponsors - $1,250 total - Listed on all sponsorship lists on website and on-site, logo included on tote bags and materials, special shout-out from DJ.
  • Spotlight Sponsor - $500 per fair - Listed on all sponsorship lists on website and on-site, special shout-out from DJ.
  • Raffle Sponsor - Vendor will provide items or discounts to be raffled off during the fair.  DJ will announce the vendor name along with the raffle prize.  No fee.
